Our Information Governance colleagues have provided a few key considerations on how to keep information about your interview candidates safe and secure when using M365 Teams
1. Ensure each interviewe has a separate invite.
An issue may arise where a candidate could join an interview while the previous one is still taking place as they will have all received the same invite just with different log on times.
2. Use the candidate number in your calendar.
This is so anyone who may have access to your calendar will not see any candidate names just a number.
3. Don't use the chat.
Unless, of course, it is absolutely necessary e.g. the candidate loses the microphone function.
4. Dont't record any of the interviews.
There are no exceptions to this.
5. Set the invite setting to ensure the candidate's can't bypass the lobby.
When you go into the calendar and click Teams Meeting you will see 'Meeting Options' when you click on that you'll see a number of drop down menus, on the first one 'who can bypass the lobby' change that to 'only me'. That way no one can enter the meeting without you permitting access, just in case you are in the middle of a chat about them or someone else.
