Click edit above and then Copy the above table ready for your new article. Click cancel when you edit to ensure that any amendments you may have inadvertently made are not saved.
Use the full name of the tool as the title.
If a new section is required you need to make that first. Do not create a new section if it is just a variant of a previous one - request a change instead - you can ask Catriona or Michelle for this.
Type into the table - DO NOT COPY AND PASTE as this will affect the formatting and the layout (alternatively you CAN copy/paste into notepad, and then select all > copy > paste into the document).
To add any URLs click the hyperlink button and add in the details. If the URL is particularly long, you can change the Text to Display to something like " click here".
Note that this format is a core record, ie. the minimum information required. You can add more information if you want to, such as journal articles about validation or training information.
Save all the evidence to the internal note field of the originating enquiry. These will only be required for level 1 and 2 requests. Also if need be save any search strategies here, specifically for Level 5 requests (if we need to apply for an open license we need to evidence our search). In the 'Location of Evidence' field make a note of the enquiry number e.g. See #1234.
Labels - use NCPR, T&M and the date next checked in the form of the first 3 letters of the month followed by the full year e.g. Jan2020
Additional subjects - if the tool covers more than one subject, place it in the sector for the main subject, and then list the other subjects in the labels.
Once you have finished writing the article, remember to click Publish to save the changes and make it visible to all users.
In the enquiry you will be able to see your article. If you go to the 'Answer Suggestion' bot at the right hand side, select Library Network and type in the name of the tool and then click the link to embed your answer to your enquirer. (The Answer Suggestion bot appears in the right-hand side of the screen next to each open ticket. If you don't see it, click on the small "Apps" icon on the right-hand side of the screen to open it. If you want to hide it, just click again on the "Apps" icon).
